Which one should you choose?

VinSolutions is a franchise-oriented automotive CRM, not a full dealer management system for an independent used car lot — it excels at customer relationship management and integrates with the wider Cox Automotive stack. Dealer OS is an all-in-one DMS for independent dealers that covers inventory, deals, titles, taxes, CRM, analytics, and a dealership website in one flat-priced platform.

About VinSolutions

VinSolutions is a well-known automotive CRM from Cox Automotive, used primarily by franchise dealerships. Who each one is best for

Choose Dealer OS if

  • Independent used car dealers who need one system of record
  • Stores where titles, inventory cost, and gross per unit are daily concerns
  • Owners who want predictable flat pricing without a contract
  • Lots consolidating a DMS, CRM, and website into one platform

Choose VinSolutions if

  • Franchise dealerships with OEM program requirements
  • Larger groups with dedicated BDC and marketing teams
  • Stores already committed to the Cox Automotive ecosystem
  • Operations needing very deep CRM automation and attribution

These are different categories of product

The most useful thing to establish up front is that VinSolutions and Dealer OS are not competing for the same job. VinSolutions is a CRM — it is exceptionally good at managing customers, campaigns, and salesperson activity, and it is designed to sit alongside a separate DMS, an inventory tool, and a website provider in a franchise store's stack.

Dealer OS is a DMS — the system of record. Inventory, cost, deals, paperwork, titles, and reporting live in it, with CRM functionality included as one part of the whole. An independent dealer comparing the two is usually really asking a different question: do I assemble a stack of best-of-breed tools, or do I run one platform?

Why franchise-oriented tools fit independents poorly

  • Service and parts assumptions. Much of the value in franchise systems is service retention and fixed operations. A used-car-only lot has neither.
  • OEM program alignment. Manufacturer compliance reporting and co-op program tracking are meaningless without a franchise.
  • Team structure. Franchise CRMs assume a BDC, a dedicated marketing role, and a defined sales hierarchy. Independent lots usually have an owner wearing several hats.
  • Enterprise implementation. Structured onboarding is appropriate at 200 units a month and heavy at 20.
  • Multi-vendor stacks. Each additional vendor is another contract, another integration, and another place your data can disagree with itself.

None of that is a criticism of VinSolutions. It is a strong product built for a specific kind of store. It is just that the kind of store it is built for is not an independent used car lot.

What an independent dealer actually needs

The daily work at an independent store is a fairly short list, and a platform either handles it in one place or it does not.

  1. Acquire a car and know its true cost including reconditioning.
  2. Get it photographed, priced, and live everywhere in under an hour.
  3. Respond to leads fast and book appointments.
  4. Structure a deal and produce correct paperwork.
  5. Track the title until it transfers.
  6. Know gross per unit, days in stock, and turn without building a spreadsheet.

A CRM covers step three well and does not own steps one, two, four, five, or six.

When VinSolutions is the right answer

If you operate a franchise point, or a group large enough to justify a dedicated BDC and marketing function, the depth of a purpose-built automotive CRM is genuinely worth it — and Dealer OS is not built for that environment. Likewise, if you already run other Cox Automotive products, staying inside that ecosystem has real integration benefits.

Frequently asked questions

Is VinSolutions good for independent used car dealers?
VinSolutions is built primarily for franchise dealerships and is a CRM rather than a full dealer management system. Independent used car dealers generally need inventory, titles, and deal management as the core system, which VinSolutions is not designed to provide on its own.
Is Dealer OS a CRM or a DMS?
Dealer OS is a dealer management system that includes CRM functionality. Leads, tasks, and follow-up are tied directly to the same inventory and deal records, so there is no separate customer database to reconcile.
Do I need a separate CRM if I use Dealer OS?
Most independent dealers do not. Lead capture, follow-up tasks, and communication tracking are included. A dedicated CRM makes sense mainly for stores running high-volume outbound marketing that needs specialized automation.
How much does VinSolutions cost?
VinSolutions is quoted on an enterprise basis and pricing is not publicly published. Request written pricing including contract term, implementation, and any per-user charges if you are evaluating it.
